LUXESCRIBE GROUP LLC TERMS AND CONDITIONS

Please read these Terms and Conditions carefully before using our website or booking any services offered by LuxeScribe Group LLC ("we," "our," or "us"). By accessing our website, booking an appointment, or engaging our services, you agree to be bound by these Terms and Conditions in their entirety. If you do not agree, please do not use our services.

ABOUT LUXESCRIBE GROUP LLC

​

LuxeScribe Group LLC is a professional services company based in Jacksonville, Florida, offering General Mobile Notary, Loan Signing, Remote Online Notarization, Document Authentication and Apostille, Property Field Inspection, Wedding Officiant, and Travel Planning and Consultation services. Travel planning services are facilitated through Outside Agents, a licensed host travel agency.

2. ELIGIBILITY

By booking or using our services, you confirm that:

  • You are at least 18 years of age

  • You have the legal authority to enter into a binding agreement

  • All information you provide is accurate, current, and complete

  • You are not misrepresenting your identity or the nature of any documents presented for notarization or authentication

We reserve the right to refuse service to anyone who does not meet these requirements or who provides false or misleading information.


SCOPE OF SERVICES

LuxeScribe Group LLC provides notarial, administrative, professional inspection, officiant, and travel advisory services only. We are not a law firm and do not provide legal, financial, immigration, or investment advice. Nothing communicated by LuxeScribe Group LLC — verbally, in writing, or through any digital medium — constitutes legal counsel. Clients requiring legal advice are encouraged to consult a licensed attorney.

Each service offered by LuxeScribe Group LLC is governed by its own individual service policy, which supplements these Terms and Conditions. In the event of a conflict between an individual service policy and these Terms and Conditions, the individual service policy shall control with respect to that specific service.


BOOKING & APPOINTMENTS

All appointments must be booked in advance through our scheduling system. Booking constitutes your agreement to these Terms and Conditions and all applicable service policies. Appointment times are reserved exclusively for you — late cancellations and no-shows impact our ability to serve other clients.

Appointment Confirmations: You will receive a booking confirmation upon scheduling. It is your responsibility to review the confirmation for accuracy and report any errors promptly.

Preparation Requirements: Clients are responsible for arriving prepared with all required identification, documents, and any other materials specified in the applicable service policy. Failure to arrive prepared may result in appointment termination with applicable fees still due.

 

FEES, PAYMENT & RETURNED PAYMENTS

​

All service fees are disclosed prior to booking confirmation. Fees are due at the time of booking unless otherwise agreed in writing. Additional fees for add-on services selected at booking are disclosed prior to confirmation.

Returned or failed payments are subject to a $35 processing fee. LuxeScribe Group LLC reserves the right to suspend or refuse future bookings in the event of an unresolved returned payment.

Government fees, supplier fees, and third-party costs (including but not limited to apostille filing fees, travel supplier charges, and RON platform fees) are separate from LuxeScribe Group LLC's service fees and are the sole responsibility of the client.

 

CANCELLATION & REFUND POLICY

​

General cancellation terms across all services are as follows:

  • 4 or more hours before the scheduled appointment: No charge. Cancellation or rescheduling at no cost.

  • Within 4 hours of the scheduled appointment: 50% of the total service fee is due.

  • Within 1 hour of the scheduled appointment, no-shows, or failure to complete required verification: 100% of the total service fee is due.

Same-day bookings are immediately subject to the within-4-hour cancellation policy from the moment of booking.

Refunds are not issued for completed services, client-caused failures, or services terminated due to client misrepresentation or non-compliance. Service-specific cancellation and refund terms are outlined in each individual service policy and may supplement or modify the general terms above.

 

RIGHT TO REFUSE SERVICE

LuxeScribe Group LLC reserves the right to refuse, suspend, or terminate any service at any time without prior notice if:

  • A client is disruptive, threatening, or engages in inappropriate behavior

  • A client misrepresents their identity or the nature of any documents

  • Completing the service would violate Florida law, federal law, or ethical standards

  • Identity cannot be verified as required

  • A signer appears coerced, impaired, or unaware of the nature of the documents being signed

  • The request involves backdating, unlawful notarization, or any fraudulent act

In cases where service is refused prior to commencement, fees may be refunded at our discretion. Once service has begun, applicable fees remain due.

 

NOTARIAL SERVICES — SPECIFIC TERMS

​

All notarial services are performed in accordance with Florida Statutes Chapter 117 and applicable federal law. LuxeScribe Group LLC does not:

  • Prepare, draft, or alter documents

  • Provide legal advice regarding document content or suitability

  • Backdate documents or perform any unlawful notarial act

  • Guarantee the acceptance of notarized documents by any third party, agency, or institution

A notarial journal entry is recorded for every notarial act performed, as required by Florida law. Remote Online Notarization sessions are recorded and retained for a minimum of 10 years as required by Florida Statutes §117.265.

 

DOCUMENT AUTHENTICATION & APOSTILLE — SPECIFIC TERMS

​

LuxeScribe Group LLC facilitates the document authentication and apostille process but does not guarantee acceptance of authenticated documents by any foreign government, agency, or institution. Government processing times are outside our control and do not qualify for refunds. Government filing fees are the sole responsibility of the client. Documents that are rejected due to deficiencies unrelated to notarial error will require resubmission at the client's expense.

 

FIELD INSPECTION SERVICES — SPECIFIC TERMS

​

Property field inspection reports reflect observable conditions at the time of inspection only. LuxeScribe Group LLC does not provide licensed home inspection, appraisal, or legal services. We are not liable for decisions made based on inspection reports, property conditions that develop after the inspection date, or access disputes. Clients are responsible for ensuring lawful access to all inspection properties.

 

WEDDING OFFICIANT SERVICES — SPECIFIC TERMS

​

Clients are solely responsible for obtaining a valid Florida marriage license prior to the ceremony. LuxeScribe Group LLC will not perform a ceremony without a valid marriage license present. Failure to obtain a valid marriage license does not entitle the client to a refund. LuxeScribe Group LLC does not provide legal, marital, or immigration advice. By booking officiant services, clients consent to LuxeScribe Group LLC photographing or recording the ceremony for promotional use unless a written opt-out is submitted prior to the appointment.

 

TRAVEL PLANNING & CONSULTATION — SPECIFIC TERMS

​

LuxeScribe Group LLC acts as an independent travel advisor through Outside Agents, a licensed host travel agency. We do not own or operate any travel suppliers, including airlines, hotels, cruise lines, or tour operators, and are not responsible for their actions, delays, or service performance. All bookings are subject to the terms and conditions of Outside Agents and individual travel suppliers.

Planning fees are non-refundable once work has begun, regardless of booking outcome. Travel pricing and availability are controlled by suppliers and subject to change until payment is completed. Travel insurance is strongly recommended. Declining travel insurance coverage releases LuxeScribe Group LLC from responsibility for losses that insurance would otherwise cover. Clients are solely responsible for ensuring all travel documents, including passports, visas, and health requirements, are valid and current prior to departure.

 

LIMITATION OF LIABILITY

To the fullest extent permitted by applicable law, LuxeScribe Group LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of our services. Our total liability to you for any claim arising from or related to our services shall not exceed the total amount you paid for the specific service giving rise to the claim.

LuxeScribe Group LLC is not liable for:

  • Document rejection by any third party, government agency, or foreign authority

  • Losses arising from client error, misrepresentation, or failure to prepare

  • Disruptions, delays, or losses caused by third-party suppliers, travel providers, or platforms

  • Circumstances beyond our reasonable control, including natural disasters, government actions, platform outages, or force majeure events

  • Decisions made by clients based on information or reports provided by LuxeScribe Group LLC

 

INDEMNIFICATION

You agree to indemnify, defend, and hold harmless LuxeScribe Group LLC, its owners, employees, agents, and affiliates from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorney's fees) arising from or related to:

  • Your misrepresentation of identity or document legitimacy

  • Your violation of these Terms and Conditions or any applicable service policy

  • Your violation of any applicable law or regulation

  • Any third-party claims arising from your use of our services

 

FORCE MAJEURE

​

LuxeScribe Group LLC shall not be liable for any failure or delay in performing services caused by circumstances beyond our reasonable control, including but not limited to natural disasters, severe weather, government orders, platform or technology outages, public health emergencies, or any other event outside our control. In such cases, affected appointments will be rescheduled or refunded at our discretion.

 

INTELLECTUAL PROPERTY

All content on our website, including text, graphics, logos, images, and service descriptions, is the property of LuxeScribe Group LLC and is protected by applicable intellectual property laws. You may not reproduce, distribute, or use any of our content without our prior written consent.

 

PRIVACY

​

Your use of our services is also governed by our Privacy Policy, which is incorporated into these Terms and Conditions by reference. Please review our Privacy Policy at www.luxescribegroup.com/PrivacyPolicy.

 

DISPUTE RESOLUTION

​

In the event of a dispute arising from or related to these Terms and Conditions or our services, you agree to first contact LuxeScribe Group LLC directly to attempt to resolve the matter informally. If a resolution cannot be reached within 30 days, the parties agree to pursue mediation in Jacksonville, Florida before initiating any formal legal proceedings.

All disputes shall be governed by the laws of the State of Florida, without regard to its conflict of law provisions. Any legal proceedings shall be brought exclusively in the courts of Duval County, Florida.

 

SEVERABILITY

If any provision of these Terms and Conditions is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it enforceable.

 

ENTIRE AGREEMENT

​

These Terms and Conditions, together with our Privacy Policy and all applicable individual service policies, constitute the entire agreement between you and LuxeScribe Group LLC with respect to your use of our services and supersede all prior agreements, representations, and understandings.

 

CHANGES TO THESE TERMS

​

LuxeScribe Group LLC reserves the right to update or modify these Terms and Conditions at any time. Changes will be posted on our website with an updated effective date. Your continued use of our services after any changes constitutes your acceptance of the updated Terms and Conditions. We encourage you to review this page periodically.
